Define Your Chatbot’s Personality and Tone
Transform your chatbot into a true brand ambassador by giving it a unique voice and behavior.
Introduction
Having the right answers isn’t enough—how you deliver them matters just as much. A legal assistant shouldn’t speak like a sports coach, and customer support needs more empathy than a technical manual.
In the Intelligence tab of your dashboard, DoxyChat allows you to sculpt your AI’s identity so it perfectly matches your brand image.
1. Choose a “Prompt Family” (Pre-configured Templates)
To save you time, we’ve pre-configured behavioral archetypes optimized for the most common use cases. This is the simplest method to get started.
Simply select a Family from the list:
- Customer Support:
- Traits: Empathetic, patient, polite, and solution-oriented.
- Use case: Ideal for helping users resolve problems or answer FAQs. It apologizes for inconveniences and always seeks to help.
- Sales:
- Traits: Dynamic, persuasive, enthusiastic, and proactive.
- Use case: Perfect for presenting products, highlighting competitive advantages, and encouraging action (purchase, appointment booking).
- Tech (Technical Expert):
- Traits: Precise, concise, factual, and direct.
- Use case: Recommended for internal documentation, developers, or complex procedures. It avoids unnecessary “chatter.”
2. Adjust Tone and Style
Once you’ve chosen the family, you can refine the communication style:
- Professional: The chatbot uses formal address, remains formal and courteous. This is the standard for B2B.
- Friendly / Casual: The chatbot can use informal address, be warmer, and even use emojis if that fits your brand.
- Neutral: A journalistic style, without particular emotion.
3. Custom Instructions (Do’s and Don’ts)
This is where you give your specific guidelines. You can add rules that the chatbot must absolutely follow. This is often called instruction “Fine-tuning.”
Use this area to indicate what the bot MUST do (Do’s) and what it MUST NOT do (Don’ts).
Examples of effective instructions:
- “Always respond with short sentences under 50 words.”
- “If you can’t find the information in the documents, invite the user to contact us by email at [email protected].”
- “Never mention our competitors, even if the user asks.”
- “Use bullet points to explain procedures.”
- “Always end the conversation by wishing them a great day.”
Tip: Be clear and directive. The AI strictly follows these guidelines.
4. Expert Mode: Total Customization (System Prompt)
For advanced users or those with very specific needs, DoxyChat offers the ability to completely rewrite the “System Prompt.”
The System Prompt is the “root” instruction sent to the artificial intelligence at the beginning of each conversation. By choosing the Custom option, you gain access to the raw text editor.
You can then write a complex prompt like:
“You are PirateGPT, an assistant who helps users navigate the site. You speak like an 18th-century pirate, using maritime expressions, but you remain precise about technical information regarding our products…”
This gives you total creative freedom to create a memorable user experience.
